This guide explains how to link an existing doctor profile to your institution within the system. The process ensures compliance with data protection guidelines, as the doctor must provide explicit approval for access. This function is essential for clinic staff administration and calendar management.

Navigating to Profiles

To manage doctors, first navigate to the Profiles sub-menu under the Administration menu. Here, you can see the list of doctors already assigned to the institution.

Searching and Selecting a New Doctor

  1. Click the Add new doctor button.

  2. Enter the doctor's name or medical registration number into the search field.

  3. Select the appropriate professional from the results list.

Requesting Access

After selecting the doctor, the system requires confirmation for security reasons:

  1. Click the Request access button next to the doctor's name.

  2. In the pop-up window, select the clinic or unit you wish to assign the doctor to.

  3. Click Save.

Approval Process (Doctor's Side)

After sending the request, the doctor receives an automated email notification.

  1. The doctor must open the email sent by the system.

  2. By clicking the approval button or link in the email, they can accept the invitation.

  3. Upon successful approval, the system informs the doctor with an "Access accepted" message.

Administrative Tasks After Approval

Until the doctor approves the request, their status remains "Access pending". In this state, the doctor's details and calendar cannot be edited. Once approved and the page is refreshed, the doctor's profile becomes active, and editing functions become available:

  • Modifying personal details (name, email, phone number).

  • Uploading a profile picture.

  • Setting specialties and language skills.

Tip: If the doctor does not receive the system message, suggest checking their "Promotions" or "Spam" folders.

Tip: Before requesting access, it is recommended to confirm which email address the doctor previously used to register in the system to ensure an accurate search.
