Managing Doctor Rights in the Calendar

Updated over 2 months ago

Introduction

The system allows specifically configuring permissions for doctors regarding the management of their own calendars and those of their colleagues. These settings determine whether doctors can modify bookings, set their own consultation hours, or access the patient database.

Setting up rights ensures that users only access functions relevant to them, increasing data security and clarity.

The settings are available under the Calendars menu within the Rights submenu.

Main Content

On the Rights page, you can choose from the following options for each doctor. To finalize any changes, you must click the save button at the bottom of the page.

Managing Own Bookings and Schedule

  • Change own bookings?: This switch determines if the doctor can manage their own appointments.

    • Yes: The doctor can modify or cancel existing bookings and create new ones for themselves.

    • No: The doctor can see their bookings on the admin interface but cannot modify them or add new ones.

  • Can change your own order time?: This function refers to setting up the consultation calendar.

    • Yes: The doctor can define their own working hours (consultation times).

    • No: The doctor cannot modify their consultation hours; only an administrator can set them.

Managing Assigned Doctors

If multiple doctors work in the system and are assigned to each other (e.g., for assistance or substitution), the following rights are relevant:

  • Can access the appointment of assigned doctors?:

    • Yes: In addition to their own calendar, the doctor can view the calendars and bookings of colleagues assigned to them.

  • Can manage the appointment of assigned doctors?:

    • Yes: The doctor can not only view but also edit, cancel, or record new appointments for the assigned doctors.

Visibility and Statistics

  • Should appear in the medical election? (Visibility on the patient interface): This setting controls the doctor's visibility on the online booking interface.

    • Yes: The doctor's name appears in the list, and patients can select them.

    • No: The doctor's name remains hidden from the list (e.g., if strictly for internal use), but the service may still be accessible via a direct link.

  • Participating in screening?: Determines if the specific doctor participates in screening packages and modules.

  • Can see statistics?:

    • Yes: The doctor can access the Statistics menu on their admin interface to view their performance data (and that of assigned doctors, if permitted).

Administration and Special Rights

  • Search in patient database:

    • Yes: When recording a new booking, the doctor can search among existing patients, avoiding the need to re-enter details every time.

    • No: The doctor must manually enter patient details for every booking and cannot see the master database.

  • Make VIP reservation:

    • Yes: The doctor is authorized to record special "VIP" bookings. This allows overriding rules (e.g., booking even when fully booked, similar to receptionist privileges).

Tips

Tip: The "Make VIP reservation" right is useful for senior doctors who may need to insert emergency appointments outside of official hours or into fully booked slots.

Summary

  • Rights can be configured individually for each doctor.

  • Visibility and editability of own and assigned colleagues' calendars are set separately.

  • Doctor appearance on the patient-facing booking interface can be toggled.

  • Setting an option to "No" restricts access to functions but generally does not remove viewing rights for basic items (like own bookings), only the ability to interact/edit.

FAQ

What happens if I disable the "Can change your own order time?" option?

In this case, the doctor cannot change their working hours. Only an administrator with full privileges can do this for them.

If the "Should appear in the medical election?" setting is "No", can no one book with the doctor?

Patients will not see the doctor in the "Specialist select" list on the public page. However, appointments can still be booked with the doctor via a direct link or by searching for and selecting the doctor’s service.

Why can't the doctor search for patients when booking?

The "Search in patient database?" right is likely set to "No". Enable this function in the Rights menu for faster administration.
