Synchronizing a Personal Google Calendar with the Central Account

Updated over a week ago

Introduction

This article explains how to add a doctor's personal Google Calendar to the system's central calendar account. This process ensures that the specialist's private engagements are visible on the central interface, preventing scheduling conflicts and facilitating planning.

Synchronization requires requesting access from the central account, which must then be approved by the owner of the personal account.

Main Content

1. Requesting Access from the Central Account

The process must be initiated from the Google Calendar account where you want to import the external calendar (the system's central account).

  1. Open the calendar interface.

  2. Locate the Other calendars section in the left sidebar.

  3. Click the + (plus) icon next to the section.

  4. Select Subscribe to calendar from the popup menu.

  5. On the settings page that appears, enter the doctor's personal email address in the "Add calendar" field.

  6. The system will indicate that you "Do not have access" to the calendar.

  7. Click the Request access button. The system will send an email to the specified address.

2. Granting Permission in the Personal Account

After sending the access request, the owner of the personal account (the doctor) must approve the sharing.

  1. Log in to the personal email account (Gmail).

  2. Open the email received from the central account containing the calendar sharing request.

  3. Click the link in the message to confirm the request.

  4. In the window that opens, confirm the sharing by clicking Send or the approval button. Here, you can choose whether to share full details or only free/busy information.

3. Verification and Display

Once permission is granted, the calendar will appear in the central system.

  1. Return to the system's central Google Calendar interface.

  2. Refresh the browser page.

  3. The added calendar will appear in the left menu under "Other calendars" or "My calendars".

  4. The calendar events will be visible in the shared view, marked with a specific color.

Tips

Color Coding: The system automatically assigns a color to the added calendar, but this can be changed later for better visibility.

Privacy: During sharing, it can be set so that only "busy" status is visible. This keeps the specific details of events (e.g., "Dentist", "Family lunch") hidden from central system operators, but the system will know that the time slot is unavailable for booking.

Summary

  • The process involves actions on two sides: requesting from the central account and approving from the personal account.

  • Subscription is initiated via the "Other calendars" menu.

  • Permission is granted via a link received in an email.

  • Refreshing the page is necessary for changes to appear.

FAQ

What happens if the calendar doesn't appear immediately?

Make sure to refresh the page in your browser after approval. Synchronization may take a few minutes.

Which email address should be entered?

Enter the Google account email address that the doctor uses for their private calendar.

Will the doctor see the central calendar as well?

This process only makes the doctor's calendar visible to the system. If reverse visibility is required, the doctor must also subscribe to the central calendar within their own account.
