Managing the Patient Database and Search

Introduction

The patient database is the central registry of patients stored in the system. This interface allows for quick searching of patients, editing their profiles, viewing their history, and booking new appointments. The module aims to manage registered client data and status transparently while ensuring data synchronization across clinics belonging to the same contract.

Access and Search

The interface is accessible under the Patient handling menu within the Patient database submenu. The search bar at the top allows filtering the list based on various criteria:

  • Name: The patient's full name.

  • Email address: The registered email contact.

  • ID (CNP/National ID): Official personal identification number.

  • Phone number: The contact telephone number.

Action Options

Function buttons are located at the end of each patient row in the results list for quick administration:

  1. Book appointment: Clicking this selects the patient and initiates the booking process.

  2. History: Displays the patient's previous appointments and visits.

  3. Edit datasheet: Opens the patient's detailed profile for modification (same as clicking on the name).

  4. Documents: Manages and lists documents uploaded for the patient.

  5. Delete: Removes the patient from the database (requires confirmation in a pop-up window).

Patient Status and Validation

Icons in the list indicate the verification level of the patient's data:

  • Exclamation mark (!): The patient is not yet validated (e.g., registered online, but data has not been verified at the reception).

  • Green checkmark: The patient is in a validated status.

Validation Process: To validate, click the exclamation mark icon, then confirm in the pop-up window that the data is correct. Upon successful confirmation, the icon changes to a green checkmark.

Display Reservation Data

The filter panel contains a "Display reservation data" toggle switch.

  • Function: Enabling this reveals "technical" patient entries created via online bookings that have not yet been officially added or validated in the central patient master file.

  • Indicator: These rows are marked with a red X icon.

  • Purpose: Helps find clients who have a booking but would not appear in a standard search due to missing database entry.

Database Scope (Contract Level)

The patient database is not limited to a single clinic but applies to the entire contract. If multiple clinics operate under one contract, the patient database is shared. This means the list allows viewing and managing patients registered at other locations or clinics belonging to the same contract.

Tips

Tip: If you are certain a patient has booked an appointment but cannot find them in the list, enable the "Display reservation data" option.

Tip: Validation (green checkmark) helps receptionists track which profiles have already been personally verified.

FAQ

What does the red X icon next to a patient's name mean?

The red X indicates reservation data that does not yet have a finalized, validated patient card in the master database (e.g., a recent online booking).

Why do I see patients not registered at my clinic?

The system manages the database at the contract level. If multiple clinics belong to the same contract, the patient pool is shared and accessible across them.
