Patient Arrival Process and Data Verification

Introduction

This article explains how to handle the patient arrival process within the system. This function allows you to register a patient's arrival directly from the overview calendar, verify and modify personal details, and manage related documents (printing or digital signature). The process ensures that all mandatory data is recorded before care begins.

Arrival Process Workflow

You can initiate patient arrival from the overview calendar by following these steps:

1. Starting the Process

Navigate to the Overview Calendar interface and click on the arrived patient's appointment to open the card. In the pop-up window, click the Patient Arrival button.

2. Selecting the Patient

The system automatically suggests relevant existing patients from the database. You can choose between two options:

  • Select Existing Patient: If you see the correct patient's name in the list, select it and click "Next". This attaches the appointment to an existing file.

  • Add New One: If the patient is not in the list (or the appointment was booked under a different name), select the Add new one option. This allows you to create a completely new file in the system.

3. Verifying and Filling Data

On the next page, the system displays the patient's data sheet.

  • Mandatory Fields: The system highlights missing mandatory data with a red border. These must be filled out to proceed.

  • Editing Data: You can also immediately correct existing but inaccurate information (e.g., a wrong email address).

4. Document Management and Completion

After filling in the data, clicking "Next" takes you to the document management interface.

  • Printing: Previously created document samples (e.g., consent forms) can be printed from here, automatically populated with the patient's details (name, date of birth, etc.).

  • Digital Signature: If configured, the document can be sent to a connected tablet for digital signature.

After finalizing the process, the patient's status in the calendar changes to "Arrived".

Tips

Tip: Always check the fields highlighted in red. The system will not allow you to complete the arrival process until all data marked as mandatory (e.g., date of birth, address) is filled in.

Tip: If a different name was provided during booking than the person who appeared (e.g., a parent booked for a child), use the "Add new one" function to record the correct details.
