Managing and Validating Patient Details

Updated over 2 months ago

Introduction

This article provides a detailed overview of how to manage patient data within the system. Once a patient is selected from the database, you can view and edit personal details, manage documents, and track appointments. Special emphasis is placed on the data validation process, ensuring that the information stored in the system is authentic and up-to-date. This guide assists users in daily administration and maintaining data accuracy.

Viewing and Editing Patient Details

Clicking on a selected person in the patient database reveals their detailed information. The following functions are available on this page:

  • Back Button: Return to the previous page or the list view.

  • Print: Ability to print sample documents directly from the profile.

  • Edit and Save: Basic patient details (e.g., address, place of birth, mother's name) can be modified. Using the save button is necessary to finalize changes.

  • Delete: Permanently remove the patient from the database.

Validation Process and Data Changes

The system tracks the authenticity of patient data. If a patient was previously in a "Validated" status (green checkmark), but you modify critical data (such as the mother's name), the system status changes.

  1. Data Change: After saving, the patient's status becomes "Data changed" because the modified information has not yet been verified (e.g., upon patient arrival).

  2. Re-validation: To confirm the data, click the Validate button that appears.

  3. Confirmation: A pop-up window allows you to verify the details. If everything is correct, confirming will revert the patient's status to the "Validated" state indicated by a green checkmark.

Functions of Additional Tabs

There are several tabs on the profile for managing further information:

  • Documents: Here you can add new documents (by selecting a type and uploading) or view digital documents created upon the patient's arrival.

  • Appointments: Lists all appointments linked to the patient.

  • Patient Portal: Access for the patient can be enabled on this interface (e.g., by entering an email address) to allow them to log in to their own portal.

Tips

Tip: If you modify data for an already validated patient, do not forget to perform the validation process again to keep the status up-to-date in the system.

Tip: On the documents tab, you can not only upload files but also retrieve previous digitally signed arrival documents.

Summary

  • Personal details can be edited on the patient profile, and printing or deletion can be initiated from here.

  • Modifying validated data (e.g., mother's name) removes the validated status, which must be manually re-confirmed.

  • Uploaded and system-generated files can be managed on the "Documents" tab.

  • Access to the patient's own interface can be granted on the "Patient Portal" tab.
