The video consultation feature covers the entire telemedicine process, from appointment booking and fee settlement to invoicing, notifications, document sharing, and recording. The system provides all necessary tools to ensure that the quality and security of teleconsultation match the standards of in-person appointments.

Doctors can manage their patients through a transparent, chronological interface where each booking appears on a separate card. This structure allows quick navigation between documents, the ambulant report, and communication with the patient.

Consultations take place in a dedicated virtual room equipped with additional features (screen sharing, chat, participant invitations) to support efficient work. The system's automated processes—such as the waiting room and automatic notifications—reduce administrative burden, allowing full focus on the patient.

To ensure seamless operation, the following must be provided:

  • Access to the system's administration interface.

1. Reviewing and Managing Bookings

After logging in, video consultation bookings are displayed in chronological order on booking cards. An automatic confirmation email is sent for every booking.

The following functions are available on the booking cards:

  • Start Consultation: This button becomes active 5 minutes before the scheduled time. Clicking it directs the user to the waiting room.

  • Documents: View files uploaded by the patient and share your own documents.

  • Ambulant Report: Professional documentation created during the consultation, which can be shared in encrypted form or downloaded after closing.

  • Cancellation: Can only be initiated outside the defined cancellation deadline.

  • Send Message: Send direct notifications to the patient (e.g., to indicate a delay or shift in schedule).

  • Download Chat: The conversation log can be saved from here after the consultation.

2. Preparation and Launching the Consultation

To ensure smooth care, it is recommended to upload necessary documents in advance.

  • Clicking the Start Consultation button leads to the waiting room.

  • The browser will request access to the camera and microphone, which must be allowed.

  • In the settings menu, you can check image and sound quality and select the preferred device.

  • Use the Enter button to open the video room. The consultation opens in a new browser tab, keeping the main admin interface accessible for multitasking.

3. The Video Consultation Process

At the scheduled start time, the patient sends a join request. The consultation only begins once the doctor approves this request.

Available features during the call:

  • Screen Sharing: Show your screen content to the patient.

  • Writing Ambulant Report: The patient's video remains visible while editing the document.

  • Chat Messages: Text communication and sharing links.

  • Invite Participants: Involve additional participants (e.g., a consultant or relative) by providing their email address.

  • Camera Rotation: On mobile devices, toggle between the front and rear cameras.

  • Timer: The time elapsed since the start of the consultation is tracked in the bottom left corner.

4. Recording the Consultation

Recording can only be initiated by the doctor. The system requires consent from all participants via a pop-up window before the recording starts. Recording only begins once all permissions are granted. Recordings are stored for 30 days.

5. Completion and Post-Consultation Tasks

After the consultation is closed, the video room remains active for an additional 60 minutes. This allows both the doctor and the patient to re-enter in case of accidental exit or disconnection.

  • At the end of the examination, the ambulant report can be sent to the patient in an encrypted format.

  • The chat log and shared documents remain accessible on the administration interface.
