Managing Reservation Statistics and Reports

Introduction

This article demonstrates how to access and analyze reservation data within the system's Statistics module. This function allows you to view detailed information about incoming reservations, filter them based on various criteria, check reservation statuses, and export data for further processing. This capability is particularly useful for tracking institutional performance and supporting administrative tasks.

Using Reservation Statistics

To access statistical data, navigate to the Statistics menu, then select the Reservations submenu.

Setting Search Criteria

The following criteria are available to filter the list:

  1. Time Type:

    • You can search "By booking time" (when the patient/client made the reservation) or "By booked time" (the actual time of the appointment).

  2. Transaction Type:

    • You can select all transactions or filter specifically for transactions sent through the partner module.

  3. Period Selection:

    • Use the calendar to define the exact period you wish to examine (e.g., the current week from Monday to Saturday).

  4. Institution Selection:

    • If you have access to multiple institutions, you can choose to query data only for the institution selected in the top left corner, or for all institutions simultaneously.

After setting the parameters, click the Search button to update the list.

Customizing the Table View

Users have the option to display only the information that is relevant to them in the table.

  1. Click the Columns button located in the top left corner.

  2. In the dropdown menu, select or deselect the column names as needed.

  3. Columns that are unchecked will be hidden from the view, making the interface easier to read. Columns can be re-enabled at any time.

Viewing Detailed Reservation Information

In addition to the basic list view, more in-depth, technical details are available for each reservation.

  • Click the + (plus) icon next to the patient’s name.

  • In the expanded view, the reservation’s detailed information will appear, such as:

    • The internal status of the reservation (for example, the patient has arrived).

    • The exact time the reservation was created and the person who created it.

    • Patient and doctor details.

    • Other logged events.

Exporting Data

The filtered list content can be downloaded as an Excel file. To do this, click the download/export button located at the top of the page. This feature allows for offline storage of data or further analysis in external software.

Tips

Tip: Use the search "By time of booking" if you want to know how many patients/clients were treated or are expected on a specific day.

Tip: In the detailed view, you can check the specific status of reservations, helping to track patient/client attendance (e.g., Arrived status).
