Email reminders are designed to keep patients informed about their booked examinations in a timely manner, thereby reducing the number of no-shows. The system allows for the configuration of multiple reminders sent at different intervals, automatically including the most important booking details. This feature ensures patient convenience and helps the clinic operate more efficiently.

Accessing and Adding Reminders

  1. Navigate to Settings and select Examination notification settings.

  2. Scroll down to the Patient reminder emails section.

  3. To create a new notification, click the Add additional email button.

Setting Timing and Content

The timing of reminders can be adjusted flexibly:

  • Timing: Select the duration before the examination (e.g., 24 hours or 2 hours before the start).

  • Mandatory Fields: For each notification, an Email subject and Email text must be provided.

  • Automated Data: The system automatically inserts booking details (doctor's name, examination type, time, price, clinic name, contact details, and logo) above or below the email text. The text you enter appears as an additional paragraph in the message.

Handling Multilingualism

If multiple languages (e.g., English and Romanian) are configured in the system, the subject and text of the reminder must be entered separately for each language by clicking on the relevant flag or language selector.

Using Email Banners

It is also possible to upload a custom image (banner):

  • The recommended image size is 600x300 px.

  • A custom link can be assigned to the banner, so if the patient clicks on the image, they are directed to the specified website.

Tip: It is recommended to set at least two reminders: one 24 hours before the examination for preparation, and one 2 hours before to ensure timely arrival.

Tip: In the email text, provide information on what to do if the patient cannot attend (e.g., a cancellation phone number or link).
