Use of Examination Rooms.

Managing examination rooms is a fundamental part of healthcare institution operations. The system allows full administration of examination rooms, including creation, editing, deletion, and the management of bookings assigned to them. The system also considers room capacity to ensure accurate appointment scheduling.

Examination Rooms Menu Overview

Examination rooms can be managed from the admin interface via the

Examination Rooms menu in the left-side navigation bar.

Menu sections:

  • Examination Rooms Overview
    Displays room occupancy and capacity.

  • Edit Examination Rooms
    Allows creating, modifying, and deleting rooms.

Creating a Examination Room

When creating a new Examination room, basic settings define how the room operates and how it can be assigned.

Creation process:

  • Open Edit Examination Rooms

  • Click Add Examination Room

Available fields:

  • Examination room name (required)

  • Color code for visual identification

  • Description with optional details or specializations

  • Address if different from the institution’s default address

  • Access information for patients

Doctor assignment options:

  • Single-doctor room
    One doctor can use the room.

  • Multi-doctor room
    Multiple doctors can be assigned.

Optional:

  • Upload images for visual representation

Save the room using the Save button.

Editing Examination Rooms

Examination rooms can be edited at any time.


Editable elements:

  • Room name and address

  • Assigned doctors

  • Uploaded images

To edit a room, open Edit Examination Rooms and click the room name.

Deleting a Examination Room

A Examination room can only be deleted if no doctors or active bookings are assigned.

Before deletion:

  • Remove assigned doctors

  • Remove or reassign active bookings

This ensures proper system operation.

Assigning a Examination Room to a Booking

Rooms can be assigned to bookings to support accurate capacity planning.


Assignment options:

  • During appointment booking by selecting a room

  • After booking via the booking card

Examination Rooms Overview

The overview provides a calendar-style view of room occupancy.


Key features:

  • Rooms displayed as columns

  • Visual indication of occupancy

  • Available time slots shown after selecting doctor and examination

Booking Directly to a Room

Bookings can be created directly from the room overview.


Booking steps:

  • Click a free time slot in a room column

  • Select a doctor

  • Select an examination

  • Complete the booking

The selected room is automatically assigned.

Capacity Handling During Bookings

The system prevents conflicting bookings based on room capacity.


Applied rules:

  • Single-doctor rooms allow one booking per time slot

  • Multi-doctor rooms allow multiple bookings for statistical purposes

  • Occupied rooms appear greyed out

  • The system suggests rooms based on working hours

  • VIP bookings can use separate logic


Modifying Working Hours and Room Assignments

When modifying a room assigned to working hours, existing bookings are checked.


System behavior:

  • Warning dialog appears

  • Affected bookings are listed:

    • Booking ID

    • Patient name

    • Room name

    • Date and time

User choice:

  • YES: Booking room assignment is updated

  • NO: Bookings remain unchanged

Institution-Level Capacity Setting

Room capacity handling can be enabled at institution level.


Setting location:

  • Institution Settings

  • Calendar Settings

Toggle option:

  • Consider Examination room capacity

Values:

  • YES: Room occupancy is enforced

  • NO: Room capacity is ignored

Tips

  1. Use consistent room naming for better calendar clarity

  2. Create multi-doctor rooms if future expansion is expected

  3. Use color codes to improve visual orientation

  4. Fill address and access fields if the room is not at the main location

  5. Test capacity logic before enabling it institution-wide
