Document Template Overview

This section will discuss document templates in the Medio admin interface. Document templates can be found under the patient management menu in the sidebar, accessible by clicking on the document templates submenu. This feature allows the use of pre-prepared templates for quickly filling out and printing patient information.

What is a document template and how does it work?

Document templates are pre-prepared forms used by the system to automatically fill in patient data. Instead of manually filling out forms for each patient, the templates allow the system to dynamically place the necessary data, which is already available in the Medio system.

What are document templates used for?

  1. Automatic filling:

    • Document templates are primarily designed to speed up the printing and filling processes. For example, a template can be a form where the system automatically fills in the patient's personal information, so there's no need to manually enter details like name, date of birth, or social security number.

  2. PDF and printed documents:

    • The system allows uploading pre-prepared PDFs that can be dynamically supplemented with data from the Medio system. This significantly speeds up form filling, as the patient's data is automatically included in the document.

Ways to use document templates

Document templates can be utilized in institutions in two main ways:

  1. Creating paper-based forms:

    • When a patient arrives at the clinic, the system prints out automatically filled documents that the patient only needs to sign, eliminating the need for manual filling.

    • This method significantly reduces waiting time, as the patient only needs to sign, with all other data automatically added to the form.

  2. Using a signature pad:

    • Another method is using a signature pad, which will be discussed in a separate academy. In this case, patients can sign digitally, further speeding up the processes.

The document templates interface

In the document templates menu, you can see a summary list of the templates already created. Two main functions are available here: edit and delete.

  1. Document template list:

    • The interface shows the name of all created templates, the number of pages, the creation date, and who created the template.

    • Comments can also be added to some documents to help identify individual templates.

  2. Edit:

    • Existing templates can be edited at any time if you want to add new data fields or modify the template structure.

    • The dynamic fields of the templates can be customized to place the desired data exactly where it needs to appear on the printed or digital document.

  3. Delete:

    • If a template is no longer needed, it can be easily deleted from the system, but be aware that deletion is permanent.
