Partner Module

General Information

The renewed Partner Module of the system allows institutions to involve partners who can initiate bookings on behalf of their patients for authorized services. Partners may include:

  • Other healthcare providers,

  • Individual physicians,

  • Outsourced call centers.

Important notes:

Legal entity requirement: The partner must be a legal entity.

After accepting the system’s General Terms and Conditions (GTC), the partner may add any number of users to the system who are authorized to make bookings.

To activate the module or for further information, please contact customer support.

Adding a Partner

Adding a partner is done through the administrative interface using the following steps:

Accessing the Partner Module

  • Select the “Administration / Partner Module” menu item.

Adding a New Partner

  • Click the “Add New Partner” button.

  • Fill in the required details (for example, partner name, contact person details).

  • Save the data using the “Save” button.

Important settings:

Partner details:

  • Only legal entities can be added as partners.

  • The system sends a notification about the partner addition to the provided contact details.

Partner contract status:

  • If the partner already has a contract in the system, they will receive a notification and must approve the invitation.

  • If the partner was not previously registered, acceptance of the GTC is required to gain access.

Selecting institutions:

  • If the institution has multiple locations, you can specify which locations the partner is granted access to.

Commission settlement:

  • If there is a commission agreement between the partner and the institution, set this to “Yes” and specify the percentage.

  • The system automatically calculates the commission in the traffic statistics.

Payment location:

  • You can set whether the patient pays the partner or the institution.

  • If payment is made to the partner, the booking status will be “Paid at partner”.

  • If payment is made at the institution, the usual payment status is displayed.

Access to patient data:

  • If set to “Yes”, the partner can view the institution’s previous patients during booking.

  • The partner cannot download patient data, only search among them within the booking module.

  • If set to “No”, new patient data must be entered for each booking.

Notifications:

  • Partner registration: If the partner is new, the system notifies the contact person that registration is required.

  • Partner notification: If the partner already has a system contract, they are notified about the addition.

Modifying or Deleting a Partner

After adding a partner, the following options are available:

  • Modify partner: You can edit the partner’s data and settings.

  • Delete partner: The partner can be removed from the system if necessary.

Enabling Services for the Partner

You must configure which services partners are allowed to access. Steps:

  • Go to the “Traffic Channels” menu.

  • In the last column (highlighted in red), the partner company name appears.

  • Select, in the partner’s column, the examinations the partner is allowed to book.

  • After this, the partner can only book the authorized services.

Handling Statistical Data

Patients sent by partners also appear in the statistics.


In the “Booking Source” section, you can see which partner referred the patient.

It is possible to generate statistics exclusively for bookings sent by partners.

To do this, select the option highlighted in red in the image.

Booking to a Partner

This function allows the partner, in their own name or through their users, to make bookings.

Adding users:

Go to the “Administration / Admin Users” menu.
Add new users and assign appropriate permissions.

Important setting:

  • Set the “Can book to partner institution” permission to “Yes” if the user is authorized to manage bookings.

  • The user receives an email notification and gains access to the system according to their permissions.

Booking process:

  • Select the “Book to partner” menu item.

  • By default, all partners and services are visible.

  • You can narrow the search to a specific institution, physician, or service using the institution selector.

  • Click the “Show calendars” button.

  • In the displayed calendar, you can select an available time slot. The system marks already booked slots in red.

  • By clicking on a booked time slot, you can:

  • Modify it,

  • Delete it.

Checking Statistical Data

Under the “Reports / Partner-submitted statistics” menu item:

  1. You can filter by time period.

  2. You can view appointments booked by partners and their details.

  3. You have the option to cancel bookings.

Summary

The system’s Partner Module enables the involvement of legal entities in the healthcare service booking process. Partners can be added, modified, and removed through the administrative interface, where available services, institutional access, commission calculations, and payment and patient data handling permissions can be configured.

Partners can add their own users to the system, who can book appointments for the specified services based on their permissions. Bookings and statistics generated by partners can be queried separately, supporting accurate settlement and tracking.

By using the module, institutions can efficiently manage the activities of external partners and the related bookings, significantly simplifying cooperation and administration.
